HR Manager - Crew

Elit’Avia is seeking a highly organised and proactive HR Manager – Crew to strengthen our existing HR team and support the administration, compliance, and welfare of our aviation personnel. Reporting to the Chief Operations Officer, this role is responsible for managing everything to do with the crew: recruitment, onboarding, personnel administration, employment documentation, HR compliance, and regulatory recordkeeping across our global aviation workforce.
The ideal candidate will have previous experience in business and private aviation, strong HR administration experience, exceptional attention to detail, and the ability to manage confidential information in a fast-paced, highly regulated aviation environment.
Responsibilities
Crew Recruitment & Onboarding
- Manage recruitment and selection activities for flight and cabin crew personnel.
- Verify licences, qualifications, certifications, and employment documentation during the recruitment process.
- Coordinate interviews and selection activities with operational stakeholders.
- Manage onboarding, induction, and integration processes for newly engaged aviation personnel.
- Ensure all mandatory onboarding documentation is completed and filed prior to commencement of duties.
- Maintain onboarding checklists and compliance records.
Crew Contracts & Personnel Administration
- Prepare, administer, and maintain employment contracts, service agreements, freelance agreements, and related employment documentation.
- Coordinate the execution and administration of crew signing packages.
- Monitor contract renewals, amendments, and employment status changes.
- Maintain accurate personnel records for permanent, freelance, and third-party aviation personnel.
- Support audits of crew engagement arrangements and employment structures.
Crew Records Management & Compliance
- Maintain complete, accurate, and audit-ready personnel files for all aviation personnel.
- Conduct regular file audits and resolve missing or incomplete documentation.
- Monitor the validity of licences, medical certificates, identification documents, and other mandatory records.
- Ensure compliance with Company, regulatory, and audit requirements.
- Coordinate the collection and filing of NDAs, policy acknowledgements, and consent documentation.
- Support Transport Malta and other regulatory personnel documentation requirements, where applicable.
Payroll, Insurance & Crew Welfare
- Coordinate with Payroll to ensure accurate payroll administration for aviation personnel.
- Manage crew insurance programmes and maintain related records.
- Support crew welfare initiatives and provide assistance with employment-related queries.
- Maintain employee benefits administration records where applicable.
Stakeholder Coordination
- Work closely with Crew Control to ensure all required crew documentation is completed before deployment.
- Coordinate with Flight Operations, Finance, Compliance, and management teams on personnel matters.
- Provide HR support during audits, inspections, and management reviews.
- Promote consistency in HR processes, filing standards, and documentation requirements across the aviation workforce.
HR Systems & Continuous Improvement
- Maintain employee records within approved HR Information Systems.
- Support the development and continuous improvement of HR procedures relating to aviation personnel.
- Assist with the creation of HR templates, forms, and process documentation.
- Ensure HR data accuracy and reporting integrity.
- Deputise for the HR Manager during periods of absence when required.
Qualifications & Experience
- Tertiary Degree or professional qualification in Human Resources Management.
- Minimum 3 to 5 years of experience in Human Resources, personnel administration, or employee services.
- Experience within aviation, transport, or another highly regulated industry will be considered an asset.
- Experience managing personnel files, employment documentation, recruitment, onboarding, and payroll administration.
- Strong knowledge of HR administration and employment documentation processes.
- Experience working with HR Information Systems and electronic personnel records.
- Excellent organisational, communication, and document management skills.
- High level of discretion when handling confidential information.
- Proficiency in Microsoft Office 365 applications.
- Ability to effectively manage multiple priorities in a dynamic operational environment.
- Fluency in English, both written and spoken, is essential.
